Troubleshooting: Unable to Add an Artist to a Booking Offer

Summary:
If you’re unable to add an artist to a booking offer, it’s usually because the artist or act name has not been added to the contact record.


Why This Happens

In Hedlyner, booking invitations are sent to artist or act names, not just contact records.
If a contact exists but does not have at least one Artist / Act Name saved, that contact will not be selectable when inviting artists to a booking.


Step 1: Add an Artist or Act Name to the Contact

  1. Go to My Contacts.

  2. Find the contact you want to invite.

  3. Click Edit on the contact.

  4. Locate the Artist / Act Name field.

  5. Enter the artist or band name.

  6. Click Save.


Step 2: Add Multiple Artist or Act Names (If Needed)

If the same contact represents multiple acts (for example, solo + band projects):

  1. While editing the contact, click Add New Artist or Act.

  2. Enter the additional artist or act name.

  3. Repeat as needed for all acts tied to that contact.

  4. Click Save All Changes.


Step 3: Invite the Artist to the Booking

  1. Return to the booking.

  2. Click Add Contact or Invite Contact.

  3. Find the contact in the list.

  4. You should now see the artist or act names appear as checkboxes underneath the contact name.

  5. Select the artist/act you want to invite.

  6. Send the invitation.


What to Expect

  • Each artist or act name tied to a contact is treated as a separate selectable option for booking invites.

  • Once added correctly, the artist names will always be available for future bookings.

Always add artist or act names when creating or editing contacts—especially for contacts that manage multiple projects—to avoid delays when sending booking offers.
