Calendar Time Zone Is Incorrect on Booking Emails

Troubleshooting: Incorrect Time Zone on Calendar Integration

Summary:
If the time zone shown in calendar-related emails looks wrong, it is usually caused by an incomplete or incorrect venue address.

Why This Happens

Calendar integrations rely on the venue address to determine the correct time zone.
If the address is missing key details, the time zone may not populate correctly.

The most common issue is that the address does not include all required location fields.

Step 1: Check the Venue Address (Most Common Fix)

To populate the correct time zone, the venue address must include all three of the following:

  • City

  • State

  • ZIP Code

How to check:

  1. Go to Account SettingsVenue Management.

  2. Find the venue used for the booking.

  3. Click Edit.

  4. Confirm the address includes:

    • Street address

    • City

    • State

    • ZIP code

  5. Save changes.

Important: Even if the street address looks correct, missing the city, state, or ZIP can cause time zone issues.

Step 2: Confirm Future Emails

  • Once the venue address is corrected, future calendar emails should display the correct time zone.

  • Emails already sent will not retroactively update.

Step 3: Contact Hedlyner Support (If Issue Persists)

If the venue address is confirmed as complete and correct, and the time zone is still wrong:

  1. Send a message to Hedlyner Support.

  2. Include:

    • Venue name

    • Booking title

    • Date of the event

  3. Our team will review the calendar integration and resolve the issue.

Best Practice

Always verify venue addresses during setup — especially when using calendar integrations — to ensure artists receive accurate date and time information.
